What is registration for?

It is mandatory for all student groups to reregister. Registration allows your group to:

  • reconfirm your affiliation as a Stanford student organization each year
  • communicate with the administration about new leadership.

Re-registration is now OPEN!

* Late registrations will not be processed until September 2nd and will impact an organization's reimbursements, funding and event requests, INCLUDING FALL ACTIVITIES FAIR REGISTRATION!

Additional Notes:
  1. By the regular deadline, all leaders on OrgSync (i.e. President, Vice President, and Financial officer) must be returning students in the Fall.
  2. By the late deadline, all leaders, officers, and members must be current students.
  3. 10 people need to be listed in BOTH the profile section and people section of OrgSync and all must be currently re-registered students 
  4. Transition workshops are mandatory for the NEW president of organizations that plan major campus events and all pre-professional organizations. These organizations will be notified via email. For everyone else, they are highly recommended. For major events organizations, see workshops listed below. You must sign-up for the workshop to get credit. For pre-professional organizations, there will be separate workshops planned and the website will be updated accordingly.
  5. Organizations that perform community service will need to meet with Kristen Azevedo in the Haas Center. 

Steps to re-register, edit, or update your portal:

 How to re-register:

1. You must be an administrator in your OrgSync portal to complete the the re-registration process. If you are not an administrator, please have a person who is an administrator in your organization, give you access or make the updates her/himself. She/he can give you access via the people tab (see below for those directions).
2. Login to Orgsync at orgsync.stanford.edu
3. At the top of the page, hover over the "Organizations" tab and select the student organization you wish to re-register. This opens your organization portal.
4. Once in the student organization portal, there will be a blue banner message across the top indicating that you need to re-register. Click this and click through and fill out the ENTIRE process until you click "Finish" - you MUST click "FINISH" in order for it to be processed. *If you do not have access to this editing process, then you are not listed as an administrator.
5. You will get an automated message that SAL received your re-registration.
6. After SAL processes the form, you will receive another message that we approved or deferred your re-registration. If we defer it, this will be followed up by an email that describes the actions that need to be taken to ensure proper re-registration.
 
How to add People to your Portal's roster:
1. In your OrgSync portal, click the "People" tab on the left column and you will see a roster of members in your org.  
2. Send members an invite to join. There is a button on the right side of the window called "Invite People." Click it. 
3. An email template within OrgSync will open. Type in the emails of people you want to invite. Those people will be sent a link to join the specific organization.
4. Invite at least SEVEN general members/other officers AND the THREE administrators (to have a minimum of 10 people in the roster.). They must ACCEPT the invitation to be included in the minimum 10 required to re-register.
 
How to give different access levels to People in OrgSync
1. In your OrgSync portal, click the "People" tab on the left column and you will see a roster of members in your organization on the right.
2. Click on the name of the person whom you want to change access level. A window will open on the right with the name, email, and section called "Groups" for that person. There is a button in the Groups section called "Manage."  Click the Manage button.
3. Decide what level of access you want to give them:
* Administrators have access to edit the entire portal and access to request events.
* Officers will have access to request events.
* Members have access to the basic portal information.
4. You may need to send members/officers/administrator an invite to join (See directions above for "Adding People to your Portal"). In the email, you can assign the roles of administrator, officer, or member here, that way you do not have to redo it after he/she joins.
5. We recommend only giving a few people officer access (4-5) and even fewer administrator access (3). This limits who can edit and access important organizational information.

Workshops

The transition workshops listed below are mandatory for the NEW president of organizations that plan major campus events. These organizations will be notified via email. For everyone else, they are highly recommended. You must sign-up for the workshop to get credit. If there are no sign-ups 24 hours in advance, we will cancel the workshop.

*Pre-professional student organizations will have separate workshops.
